Business Support Coordinator

Accountabilities:

  • Support senior leaders by managing complex calendars, prioritising meetings and coordinating across global time zones, using intelligent digital platforms to keep work flowing smoothly.  

  • Coordinate complex domestic and international travel, including visas and accommodations, ensuring accurate expense reconciliation and adherence to policy.  

  • Drive procurement activities such as PO creation, vendor onboarding, SOWs and invoice tracking, helping to embed standardised ways of working across teams.  

  • Plan and deliver virtual and hybrid events, using collaboration tools and digital logistics solutions to create engaging, efficient experiences.  

  • Own the operating rhythm for committees and teams, tracking actions and deliverables through automated dashboards and workflow tools that keep everyone aligned.  

  • Handle sensitive and confidential information with discretion, using secure digital platforms and robust information governance practices.  

  • Build effective relationships with the wider Business Coordinator community, Global Leadership Teams, respective SET area teams and external partners to enable smooth collaboration.  

  • Communicate with confidence, managing priorities and expectations with integrity while influencing positive outcomes across a diverse stakeholder group.  

  • Continuously review and refine administrative processes, implementing standards and templates that maximise automation and digital enablement.  

  • Actively use available learning resources and tools (such as ChatGPT, Copilot and AI-focused training) to develop skills and stay ahead of emerging digital capabilities.  

  • Champion the adoption and integration of automation tools, including AI-driven scheduling and digital document management, to simplify and standardise business support processes and nurture a culture of innovation and learning.  

Essential Skills/Experience:

  • Education: Bachelor’s degree or equivalent experience. 

  • Proven experience managing complex calendars, meetings, international travel, expenses, procurement (POs/SOWs/vendor onboarding), invoices, and vendor management across time zones. 

  • Hands-on use of enterprise AI and automation tools (e.g., Copilot, AZ ChatGPT) to streamline workflows, scheduling, and standardize processes. 

  • Ability to design and maintain automated trackers/dashboards (e.g., Power BI, SharePoint/Lists, Smartsheet) for actions, deliverables, and operating rhythms. 

  • Advanced proficiency with all Microsoft 365 applications (Teams, Outlook, SharePoint, OneDrive, OneNote, To Do) and other digital tools (Zoom, Teams, etc.) for virtual/hybrid events and logistics. 

  • Strong adherence to confidentiality, data privacy, and information governance using secure digital systems. 

  • Analytical, organizational, and communication skills; effective stakeholder management at senior levels.  

  • Proven ability to collaborate across teams and levels, communicate clearly, adapt quickly, and build productive relationships that make collaboration seamless and effective. 

  • Demonstrated ability to inspire and embrace change, solve problems proactively and effectively, and handle multiple priorities in a fast-paced global environment, with ongoing upskilling in AI/digital tools. 

  • May involve occasional early/late meetings to accommodate different time zones worldwide. 

  • Periodic travel may be required for onsite meetings and events.
